Messaging Consent Policy

1. About This Policy

Ecclesly is a church management platform operated by Kaleo Systems LLC. This policy describes how churches and religious organizations using Ecclesly ("Organizations") collect, record, and manage communication consent from their congregation members ("Members") before sending SMS text messages or email communications.

Ecclesly provides the tools and infrastructure for Organizations to send communications on their own behalf. Kaleo Systems LLC acts as a technology provider and does not initiate messages to Members independently.

2. SMS Consent

How Consent Is Collected

Organizations using Ecclesly collect SMS consent from Members through one or more of the following methods:

  • In-person or verbal consent — A staff member or pastor asks the Member if they consent to receive SMS messages from the organization and records the consent in Ecclesly, along with the date and the staff member who collected it.
  • Paper registration — Members provide their mobile number on a church registration card or membership form that includes opt-in language. Staff enter the consent record into Ecclesly.
  • SMS keyword opt-in — Members text an opt-in keyword (such as JOIN or YES) to the Organization's designated SMS number. The Ecclesly platform automatically records the consent when the keyword is received.

Consent Language

Before or at the time of consent collection, Members are informed of the following (verbally or in writing):

"By providing your mobile phone number, you agree to receive recurring SMS text messages from [Organization Name] powered by Ecclesly, including event reminders, church updates, and pastoral communications. Message frequency varies. Message and data rates may apply. Reply STOP at any time to unsubscribe. Reply HELP for assistance."

Opt-In Keywords

Members may opt in to SMS communications by texting any of the following keywords to the Organization's SMS number:

  • JOIN — Subscribe to SMS communications
  • YES — Confirm SMS opt-in

Opt-Out Keywords

Members may opt out of SMS communications at any time by replying with any of the following keywords:

  • STOP
  • STOPALL
  • UNSUBSCRIBE
  • CANCEL
  • END
  • QUIT

Upon receiving an opt-out keyword, the Ecclesly platform immediately records the unsubscribe request and the Member will receive no further SMS messages from that Organization. Members may re-subscribe at any time by texting JOIN or YES.

Help Keyword

Members may reply HELP at any time to receive information about the messaging program and how to get assistance.

Message Frequency & Rates

  • Message frequency varies by Organization and messaging activity.
  • Message and data rates may apply depending on the Member's mobile carrier and plan.
  • Ecclesly does not charge Members for SMS messages. Carrier charges may apply.

3. Email Consent

How Consent Is Collected

Organizations collect email consent from Members through one or more of the following methods:

  • Membership registration — When a Member provides their email address and joins the congregation, staff record email consent alongside the member profile in Ecclesly.
  • Paper or verbal consent — Staff collect consent in person and record it in the Ecclesly platform with a timestamp.

Unsubscribe

Every email sent through the Ecclesly platform includes a one-click unsubscribe link in the footer. Clicking the link immediately removes the Member from future email communications from that Organization. Unsubscribe requests are processed automatically and in real time.

4. Consent Records

The Ecclesly platform records the following information at the time consent is captured:

  • Date and time of consent
  • Consent source (e.g., staff entry, SMS keyword, paper form)
  • Staff member who recorded consent (for staff-entered records)
  • Channel (SMS and/or email)

5. Data Handling

Member contact information and consent records are stored securely within the Ecclesly platform. Kaleo Systems LLC processes this data solely on behalf of the Organization and does not use Member contact information for any purpose outside of providing the Ecclesly service.
